Job Description
RCL FOODS is recruiting a meticulous and organized Reconciliation Clerk to join our dynamic team at the Benoni Bakery. This position reports directly to the Production Manager and plays a crucial role in our supply chain and inventory management processes.
Purpose of the Position
The Reconciliation Clerk is responsible for ensuring that all consumables received are thoroughly inspected, correctly identified, and allocated to the appropriate stock code. This role is central to maintaining accurate inventory records and supporting the efficient operation of our production and slicing departments.
Key Duties and Responsibilities
- Understand, manage, and continuously improve the existing stock and coding system.
- Oversee and organize the physical storage areas for all raw materials.
- Control the receipt of all incoming raw materials, ensuring accuracy and compliance.
- Manage the issuance of raw materials to the production and slicing departments based on SMV (Standard Minute Value) documentation.
- Maintain and update manual Kardex systems, ensuring they balance with physical stock quantities.
- Conduct daily interim stock counts and lead the comprehensive month-end stock count process.
- Reconcile manual Kardex records with the quantities reflected in the Syspro system.
- Verify that all material certificates match the physical material identification and ensure proper filing.
- Manage the re-ordering process for raw materials according to the requirements of individual stock codes.
- Enforce strict controls and systems for issuing raw material stock.
- Regulate and control access to the stores area for both suppliers and employees.
- Monitor, manage, and maintain current inventory levels to prevent shortages or overstocking.
- Process purchasing orders as required and track orders to investigate and resolve any problems.
- Record all purchases and maintain an accurate and up-to-date database.
- Perform physical inventory counts and reconcile these counts with computer-generated reports.
- Receive and unpack delivered goods, completing all necessary Food Safety documentation.
- Process invoices for payment and handle returns in accordance with Food Safety policies and procedures.
- Perform general clerical duties, including data entry, following up on placed orders, and liaising with internal and external stakeholders.
- Lead, guide, and train any staff reporting into this position.
- Perform all other job-related duties as assigned.
Minimum Requirements
- Education: Grade 12 certificate is essential. A National Diploma in Logistics or Production Management is highly preferred.
- Experience: Minimum of 5 years’ experience within an FMCG (Fast-Moving Consumer Goods) environment. At least 3 years of experience in a department management or supervisory role is required.
- Technical Skills: Must be highly computer literate with extensive experience in Microsoft Office Suite (especially Excel).
- Systems Knowledge: Must have working knowledge of Purchase Orders (from creation on Syspro to completion), Goods Receipt Vouchers (GRV), Invoices, and Backflushing processes (including Transfers, Damages, and Backflush).
- Personal Attributes: Must be highly organized, systems-oriented, and a self-starter with a strong ability to use own initiative.
- Analytical Skills: Strong ability to analyse data, reconcile stock counts, report findings, and solve problems effectively.
- Administrative Skills: Proven ability to prepare routine administrative paperwork accurately.
- Availability: Must be willing and available to work overtime, including on public holidays (in line with the bakery calendar, excluding three designated days).
