Job Description
The South African Civil Aviation Authority (SACAA) is seeking a diligent and organised Administration Officer to provide comprehensive administrative support to a designated department. This is an excellent entry-level opportunity for a detail-oriented professional to build a career within a dynamic regulatory environment.
Key Responsibilities:
General Administrative Functions:
- Assist management and the department by managing diaries, coordinating schedules, and organising departmental meetings and events using the organisation’s electronic tools.
- Prepare, package, and circulate departmental documents, reports, and information required for meetings and other engagements.
- Develop and maintain an efficient and accurate filing system to ensure the easy retrieval of information.
- Screen, classify, and record documents for easy access and tracking.
- Provide full administrative support for departmental functions and meetings, including the preparation and circulation of minutes.
- Update and circulate departmental documentation for approval as provided by Subject Matter Experts.
- Assist with coordinating budget preparation and reporting on expenditure.
- Process operation manuals and amendments.
- Arrange all domestic and international travel logistics, including submission for approval, allowances, and related bookings.
Office and Stakeholder Management:
- Manage the control of all office consumables and liaise with the Procurement Department regarding stock levels.
- Organise requests for assets, and manage their delivery, allocation, and tracking for the department.
- Track and monitor progress on departmental projects and prepare reports on their status.
- Ensure appropriate and professional communication with both internal SACAA staff and external clients.
- Promptly and effectively deal with telephonic, mailed, and in-person enquiries.
Minimum Requirements
Education:
- Grade 12 / Matric certificate.
- A Certificate in Office Administration, Office Management, Secretarial Studies, or a relevant qualification.
Experience:
- 2 years of experience in an Administrative or Secretariat role.
Ideal Qualifications
Education:
- A Diploma in Office Administration, Secretarial Studies, or a related field is highly advantageous.
