Administrative Assistant: Undertakings (X4 Positions)

These are 36-month fixed-term contract positions available at the Road Accident Fund.

Purpose of the Job

The Administrative Assistant in the Undertakings section is responsible for providing day-to-day administrative support to the Medical Management department. This role ensures smooth operations by handling various administrative tasks efficiently and accurately.

Key Performance Areas

Compliance Administration

In this area, you will maintain up-to-date written documentation for all the department’s business activities. You will ensure full compliance with the organization’s policies and process standards. It is important to stay informed about internal standards and business goals to support strong internal controls and avoid any issues.

Office Coordination

You will help maintain correspondence, filing systems, handle telephone queries, and provide general administrative support to the office. Maintaining strict confidentiality in all office matters is essential. You will assist in following up on outstanding issues, ensuring all requests are handled and responded to within set timelines.

Additionally, you will engage with Processing Centers to resolve pending matters. You will help ensure the department has enough stationery supplies. Validating and verifying information and documents for accurate capturing and handling is a key task. You will keep systems and registers up to date, check for duplicate documents, requests, or queries, and report them as needed.

Other duties include allocating reference numbers, accurately capturing related documents on various systems, allocating matters to the appropriate team members, and drafting and sending letters to stakeholders when required.

Meeting Support

You will assist in arranging meetings for the department, including taking and distributing minutes according to governance standards. Maintaining a register to track outstanding matters from meetings is important. You will support the follow-up on meeting resolutions and ensure actions are taken.

Responsibilities also include confirming meetings, managing team diaries, and scheduling appointments with internal and external stakeholders as needed.

Document and Records Management

You will administer records management and filing processes in line with the RAF filing plan. Ensuring the filing system is always up-to-date and functional is crucial. You will help retrieve information quickly when requested.

Maintaining confidentiality of all documents and ensuring they reach the intended recipients is a priority. You will acknowledge receipt of documents, allocate file numbers, record data on the computer system, and file them appropriately.

Qualifications

A Matric or Grade 12 certificate is required for this position.

Experience

At least 1 year of relevant experience in an administrative or similar environment is necessary.
