Detailed Key Deliverables

1. Contractor Database Management

  • System Administration:

    • Maintain accurate records in SAP SuccessFactors (Contractor Module)

    • Track contract expiry dates with 30/15/7-day renewal alerts

    • Update personal details, qualifications, and site access permissions

  • Compliance Oversight:

    • Verify work permits for foreign nationals

    • Ensure all contractors hold valid site-specific certifications (OHS Act Section 10)

2. Contract Lifecycle Processing

  • Documentation Control:

    • Prepare fixed-term contracts using approved templates (variations/extensions/terminations)

    • Manage electronic signing via DocuSign platform

    • Archive signed contracts per POPIA requirements

  • Payroll Coordination:

    • Submit contractor timesheets to payroll by 25th monthly cutoff

    • Resolve invoice queries with external staffing agencies

3. Vetting & Background Checks

  • Screening Protocols:

    • Initiate ITC credit checks via TransUnion

    • Process criminal record verifications through AFISwitch

    • Validate qualifications with SAQA

  • Reporting:

    • Flag adverse findings to HR Manager within 24 hours

    • Maintain audit trail for all vetting activities

4. Employee Relations Support

  • Onboarding:

    • Coordinate contractor inductions (virtual/in-person)

    • Issue access cards and PPE requisitions

  • Offboarding:

    • Retrieve company assets

    • Conduct exit interviews for long-term contractors


Essential Experience & Competencies

Non-Negotiable Requirements

  • Experience:

    • Minimum 2 years in HR administration with direct exposure to high-volume contractor management (300+ personnel)

    • Demonstrated expertise in fixed-term contract administration

  • Technical Proficiency:

    • Advanced Excel (PivotTables, VLOOKUP, Macros)

    • HRIS/ATS navigation (SAP/Oracle/PeopleSoft)

  • Attributes:

    • Ability to process 30+ contracts daily under deadline pressure

    • Meticulous attention to contractual detail

Clearance Requirements

  • Clean criminal record (no pending cases or convictions)

  • Favorable credit profile (debt-to-income ratio ≤ 40%)


Contractual Terms

Financial Package:

Component Details
Hourly Rate R180 – R220 (based on verification of experience)
Monthly Estimate R28,800 – R35,200 (160 hours/month)

Work Structure:

  • Hours: 08:00 – 16:30 (Monday-Friday)

  • Overtime: Not permitted without prior written approval

  • Location: On-site at Pretoria East HQ (no remote work)

  • Notice Period: 2 weeks termination clause

Exclusions:
